Meeting Highlights

· First event to be a public WRA Coffee Morning @ Harrington Waters Display Office on Saturday 11th October 2008 - 10:30am till 12noon.

· Next event to be a talent contest on Saturday November 29th at Rockingham Baptist Church, Gnangara Drive – 29th November 2008 – Approx 2pm till 9pm

· Website and publicity updates

· Petition concerning pedestrian safety on Safety Bay Road for access to Warnbro Railway Station

· Discussion – Road traffic calming measures corner of Ambleside Parade and Harrington Waters Drive.

· Membership Rewards – December Sausage Sizzle for WRA paid up members and membership cards.

Publicity & Events

For the sake of minuting all of activity surrounding publicity and events, this section is broken down into current activities, next event related activities and post event related activities.

Current Activities – Road Safety Issues

The following road safety issues were raised:

o Continued issue of hazardous pedestrian access to Warnbro Railway Station for Waikiki residents.

o Action: PW/PF - Petition to be raised. (Discussed later)

o Road calming measures on the corner of Ambleside Parade and Harrington Waters Drive.

o Action: PW to invite Robert Gruin to next WRA coffee morning (Discussed later)

o Need for road safety on Kirkbride Meander.

o Action All: To be reviewed again next meeting

Current Activity – Public WRA Coffee Morning @ Harrington Waters Display Office on Saturday 11th October 2008 – 10:30am-12noon.

· PM provided a sample flyer for advertising of the next WRA public coffee morning.

o Reviewed by all – Feedback included strengthening of the WRA mission statement paragraph and mentioning the possibility of membership.

o Flyer not to be used as an insert into the Telegraph because of expense. PW to post flyer in public locations.

o Action PM to incorporate feedback and distribute a second draft of the document for review.

o Action PW to copy the approved flyer and place in as many public locations as he’s able to visit.

· PW organising a feel good piece in the Sound Telegraph with Monique Mannile

o Action: PW to work with Monique Mannile to ensure the piece is in the Sound Telegraph before the upcoming coffee morning on Saturday 11th October.

o Piece must be up-beat, must focus on the good the WRA has been able to do in the past and what we have planned for the future.

o Must give the date and time of the forthcoming public coffee morning.

o Can mention the forthcoming talent contest. Details can be sketchy if PW hasn’t been able to confirm the booking with the venue.

· PW/PM to draft letter & email to all existing paid up WRA members informing them of the next Public Coffee Morning.

o Action: PW/PM to draft letter and email.

· Question by PM, what should be the format of the next public meeting?

o PW stated it would be better to keep it an informal coffee morning.

o Agreed by all

· Format and content of coffee morning to include

· WRA committee members to be available to meet and greet any who attend.

· Light refreshments

o Action: PW to organise refreshments

· Membership paperwork available on the day.

· All existing paid members invited to attend.

· A suggestions board will be made available so that ideas can be collated for subsequent events and public concerns.

· News clippings and petition document to Rockingham City Council, concerning the addition of traffic control measures on the junction of Safety Bay Road and Ennis avenue, to facilitate safe pedestrian access to Warnbro Railway Station will be available for public signing.

· Action: PW to invite Robert Gruin to discuss the road calming works on corner of Ambleside Parade and Harrington Waters Drive.

Next Event Related Activities – HRA Talent Contest – Rockingham Baptist Church, Gnangara Drive – 29th November 2008 – 2pm – 9pm

· PW proposed a talent contest instead of the Christmas Carols suggested event.

· Agreed by all, as PW has invested significant time in researching and pre-organising the event.

· Date and venue proposed by PW.

· Action: PW to confirm event booking with Pastor Dan.

· Action: PW to check with Pastor Dan re sound and lighting support for the event.

· Action: PW to distribute Funding application to WRA members for review immediately.

· Action: PW to gain funding approval from Summit/Harrington Waters developers

· Action: PW to confirm hall accessibility for the entire day to allow for setup and breakdown.

· Action: PW to distribute Talent Contest rules to WRA members immediately.

· Action: PW to discuss role of MC with a couple of likely candidates.

· Action: PW to discuss judge role with Dorothy Liley

· Action: PW to act as second judge

· Action ALL: Third judge to be found

· Action: PM/SM/PF/TK to act as volunteers on the day. Duties may include door administration, WRA liaison duties, setup/breakdown, disbursement of post event flyers and general organisation.

· Action: PW to organise official photographer with Summit (Ron Tan?).

o SM could act as stand in photographer if required.

· Action: PM to review if possible to advertise the event from the WRA website.

· Action: PM to devise posters for the event.

· Action: PW to distribute details to the school contacts he has (Kerry Chipchase?).

Post Event Related Activities

· PF suggested advertising the next public coffee morning and potentially the next event on a flyer to be left on the seats at the Talent Contest.

o All agreed

· Action: PM to devise flyer advertising subsequent coffee morning, which will be left on the seats at the talent contest.

Membership

· PM discussed the need for members to realise the benefits of their annual membership contribution. He said that at present the current members are not seeing any benefits from the annual payment they are making and that if we are to preserve and grow the membership base, the members need to see the value for money from being a member.

o Agreed SM, PW

o PM suggested that benefits could include priority seating or reduced entrance fees to existing members at future events.

o Agreed by all to review in the planning of each new event.

o PW highlighted the rewards card that used to be distributed to members, for discounts at local soted.

o PM asked why this was not provided to PM & SM on becoming members.

o PW explained the collapse of the membership scheme with the withdrawal of Maresa Robbers as membership coordinator.

o Action: SM has subsequently volunteered to act as membership coordinator.

o Action: SM to work with PW to understand the role and potentially Maresa Robbers to return any existing artefacts.

· SM suggested a Christmas Sausage Sizzle as a way of rewarding the existing members of the WRA. This was suggested as a great way of showing an exclusive benefit for members and getting them together to improve relations.

o PW suggested holding the event at the Harrington Water Display Office (HWDO) as holding it publicly would require authorisation.

o Action: PW to check if Summit will authorise such an event to be held at the HWDO.

o Action: PW to check with local food stores concerning the possibility of getting a meat donation.

o Action: PW to check with Summit whether the Summit BBQ could be couriered down for the event.

o PF & PM both volunteered their BBQ’s for use at the event, providing it could be transported to/from the venue.
